NATIONAL ACCOUNTS
A National Account refers to a business arrangement where a HITS BPOS user sells to their retail/wholesale customers. However, in this arrangement, the retail/wholesale customer is not directly paying the workorder, instead, the customer is considered a direct client of a Supplier/Vendor, such as Michelin.
In this arrangement:
1.) The HITS user provides the tires and services to their customer.
2.) The Supplier/Vendor, not the customer, pays the workorder.
The National Account process is how the HITS user gets credit or reimbursement from the Supplier/Vendor for completing the job.
Please contact Tech Support at tech@aasys.com to complete the setup of the National Accounts before adding invoices for National Accounts.
Configuring National Accounts
National Account Suppliers, such as Bridgestone, Michelin, and Goodyear, must be configured in HITS to ensure supplier credits are correctly applied to invoices. The setup can be completed using one of four methods, depending on whether a Bookkeeper or a Sales Representative will manage the account. Additionally, each National Account must be designated as an Open Items account type. Choose the appropriate option from the links below based on how you are applying the credit.
Set up the Supplier/Vendor accounts with the appropriate National Account settings depending on who is applying the credit and how. NOTE: Not all accounts shown below need to be set up, it would just depend on how the payment is applied.
Option 1 – Bookkeeper Vendor Credit – The invoice closes to the A/R account applied terms. Later, the Bookkeeper posts the national account credit resulting in two credit memos applied to the invoice.
Option 2 – Bookkeeper Cash – The invoice closes to the A/R account. Later, the Bookkeeper posts the national account credit resulting in one ROA payment and one credit memo applied to the invoice.
Option 3 – Salesrep Vendor Credit – The national account credit is applied by the Salesrep on the workorder, resulting in a PCD line. At invoice close, the national account credit is posted, resulting in two credit memos applied to the invoice, as well as a negative receipt.
Option 4 – Salesrep Cash– The national account credit is applied by the Salesrep on the workorder, resulting in a PCD line. At invoice close, the national account credit is posted, resulting in one ROA payment and one credit memo applied to the invoice.
Reporting on National Account Credits
The Ticket Lookup feature now includes a National Account filter, enabling you to search specifically for National Account tickets or exclude them from your results. Additionally, a NAT column has been added to the table to indicate which tickets are associated with National Accounts.
Additionally, you can run the Department Journal, and/or the Department Recap to view all National Account sales. These sales will be organized by the departments defined during the initial setup with tech.
