Updating HITS to Use an “App Password” for Gmail to Enable More Security

This document provides details/resources for:

1. Enabling 2Step Verification in Gmail (this may already be enabled in your Gmail account)
2. Creating an “App Password” for Your Gmail Account
3. Updating your email password in HITS with your new “App Password”

These steps may be necessary to be able to email from HITS using a Gmail email address after Google discontinues the “Allow Less Secure Apps” option in Gmail.

1. Enabling 2Step Verification in Gmail (if not already enabled in Gmail)

Please note: enabling 2Step Verification on your Gmail account means that you will have to complete a second verification step (usually via your cell phone) when logging into Gmail on a device for the first time 2Step Verification is enabled. When completing this second step, you may see the option to tell Gmail to not require this second verification step when logging on to this specific computer going forward. You check this option, if you wish.

2. Creating an “App Password” for Your Gmail Account

Once 2Step Verification is turned on in Gmail, use the link below to set up an “App Password”. You will use this App Password in place of your Gmail password in HITS. When going through this setup process, you can select “Mail” as the App “Other (Custom Name)” for the Device. You can enter a Custom Name such as “HITS Emailing”:

Once you have generated the App Password, be sure to immediately highlight and copy it because you may not be able to see it again.

3. Updating your email password in HITS with your new “App Password”

Once you have it copied, log in to HITS and go to ViewsAdministration & UtilitiesStore View/Edit Default Settings. Then, at the bottom select the appropriate “Settings Shown” option for where you have your existing email set up in HITS. Then, click the Email/Communications tab on the lefthand side.

Where your current email password is, replace it by pasting your new “App Password”, then click the Save button at the bottom. Here’s an example of what this may look like for updating the Settings Shown = Corporate email address set up in HITS:
