How AutoFlow Works with Your HITS System

AutoFlow works with your HITS system to keep your vehicle information, service updates, inspections, and appointments in sync. This guide explains step by step how it works and what you can expect when your shop uses AutoFlow.


Work Orders and Requirements

AutoFlow tracks your vehicle through work orders created in HITS.

Quotes do not transfer — they must first be converted into a work order.

For a work order to be sent to AutoFlow, three things must be on the ticket:

1.) A customer with a valid phone number

2.) A vehicle on the ticket

3.) A selected vehicle status (such as Check-In)

When these requirements are met, HITS marks the ticket as Auto Flow = SENT and sends it to AutoFlow.


Accessing AutoFlow from the Ticket

You can open AutoFlow directly from the Main tab of any ticket:

1.) Go to the Main tab of the work order.

2.) Click the AutoFlow button.

3.) A customer conversation window from AutoFlow opens, showing that ticket and its status.

⚠️ You must be logged into AutoFlow for the button to work.


Appointments/Status Tab

  • AutoFlow integration is controlled from the Appointments/Status tab in the ticket.

  • This is where the vehicle status is updated and where AutoFlow shows confirmation that the ticket has been sent.

  • If your shop uses online booking, appointment requests also appear here and are tied to customer records.


Vehicle Status Updates

  • As your vehicle moves through the service process, statuses such as Check-In, In Progress, or Inspection Complete are updated.

  • Updates made in HITS flow to AutoFlow. Updates made in AutoFlow flow back into HITS.

  • Some changes trigger notifications in HITS so staff can act quickly.


How notifications work:

1.)  When a notification appears, select the row in the notifications window.

2.) You can then either:

    • Click Go To Ticket at the bottom of the window, or

    • Right-click the row and choose Go To Ticket.

3.) This opens the work order linked to the update (such as an inspection completion).


Digital Inspections (DVIs)

  • If a digital inspection is performed in AutoFlow, the results are pushed back into HITS.

  • Completed inspections are attached to the work order under the Links tab, which is highlighted in red when results are available.

  • Double-click the link to open the vehicle inspection from AutoFlow.

  • Inspections are also available in HITS Digital for easy access and sharing.


Online Appointments

  • When you book an appointment online, AutoFlow creates an appointment request in HITS.

  • HITS checks your phone number or email to find your customer record:

    • If a match is found → your customer information and vehicle are automatically linked to the ticket.

    • If no match is found → the appointment is created under a temporary record until the shop confirms your details.

  • Appointment details (date, time, contact info, and description) are saved in the Appointments/Status section of the ticket.

  • Once the appointment is converted into a work order and given a status, it is sent to AutoFlow.

Transparency: You can follow your vehicle’s progress in real time as statuses update between HITS and AutoFlow.

Convenience: Online appointments carry over your information automatically, saving time when you arrive at the shop.

AutoFlow and HITS are continually improving the integration. This means that over time, more features may sync automatically and additional updates may be available to make your experience even smoother.
